Introduction

New Users: If you are brand new to Wilson, you need to do the steps below including changing your password at Office.com BEFORE you can do anything else with your account.

Note: Screenshots for everything will be below all of the text. That way you can get through the text-instructions without scrolling through screenshots.

In the interest of account security for our students, faculty, and staff, we have set up a system that will alter how you log in to the systems you currently use your Wilson username for. When fully implemented, the new system will have single sign-on, multi-factor authentication, and the ability to reset your password. Please read below for more details and instructions.

Implementation Schedule

Implementation was completed September 2019.

Single Sign-On

Single sign-on is a system where you only need to log in once to be logged into all of Wilson's systems. For example, you could log into Canvas and then in a new tab go to the Portal and it will automatically log you in to the portal because you already logged into Canvas. Previously, you would log into Canvas, then have to log in again for the portal. The current plan is to turn this on for Canvas, Zoom, Colleague, Slate, and some of our other systems on September 26th. If you have not completed steps 1, 2, and 3 below by September 16th, you will be forced to complete those steps before you can log into these systems.

Multi-Factor Authentication

Multi-Factor Authentication is used by many organizations when you log in. Many banks, Amazon, Google, etc. allow you to use MFA and it is much more secure than not using it. Think of your password as the 1st factor of making sure you are who you say you are. The text message, app code, or phone call you'll set up (see instructions below) is a 2nd way for the system to know you are who you say you are. That way, if someone gets your password, it's harder for them to actually log into your account.

Password Change and Reset

For as long as Wilson College has had usernames, the passwords have always been set by the IT staff and you had to use the same password unless IT changed it for any number of reasons. Now you will be able to create your own password and use the forgot your password system to reset it if you forget. This way, only you know your password. There is no list of passwords kept on our network. This makes for a more secure environment for all of our users.

What You Need To Do

Step 1: Log in

Go to www.office.com and click on "Sign in." It may ask you at some point if you're using a "personal" account or a "work/school" account. You of course want to use a work/school account.
Use your FULL Wilson email address WITH @wilson.edu in it. (NOTE: EVEN IF YOU DO NOT HAVE A WILSON EMAIL ADDRESS, YOU WILL STILL USE YOUR USERNAME@WILSON.EDU) Any time you see this particular sign in screen, you will need to include @wilson.edu
Use your current Wilson password.

After logging in with your Wilson username (with @wilson.edu) and password, it will say that it requires additional information. This is when you will set up your Multi-Factor Authentication.

Step 2: Set up your multi-factor authentication

You have 3 options for your multi-factor authentication. You must choose one.
- Authentication Phone--Think of this option as your cell phone. The system will call you or text you based on your selection.
- Office Phone--The system will call you. Please keep in mind if you use this method, you will only ever be able to log in from that location.
- Mobile app. If you have a smartphone, we highly suggest using the mobile app because then you're not dependent upon good cell phone reception. You can download the Microsoft Authenticator app from the app store, play store, or from https://www.microsoft.com/en-us/account/authenticator.
- NOTE: This can be changed later if you end up not liking the method you choose the first time.
Once you select one of the 3 methods, you will need to follow the prompts given to you.
- Phone Options--You will receive a call or text message depending on the choice you made. You will need to either input a number given to you or you may (if you chose a call) need to follow a voice command. Make sure you select a country/region when typing your phone number if asked.
- Mobile app--The website will provide you with a QR code. You will then need to follow the prompts on your mobile app until you get to the point where you scan the QR code. Note: you will be prompted to grant the app permission to use your camera.

If you ever need to change your MFA settings or if you need to reinstall the Authenticator app, view the instructions here.

After setting up your multi-factor authentication, it will yet again say there is more information required. This time it will have you set up your password-reset options.

Step 3: Set up your password reset options

For Password Reset, there are two things you need to do. You must do BOTH. These are ways Microsoft will make sure you are who you say you are if you ever try to change your password.
- Authentication phone--This can be an office phone, home phone, or cell phone. You will click on the link to set it up and type your phone number. It will ask you if you'd like a call or text. Follow the prompts after making your choice. Make sure you select a country/region when typing your phone number if asked.
- Authentication Email--This can be any email address that is NOT your official Wilson email address. For example, if you have a gmail or hotmail account, use that.

Once you set up your phone and email, you're all set and can continue using office.com.

Changing Your Password & Using "Forgot My Password"

If the system ever tells you to change your password, it will lead you through prompts where you'll need to put in your old password and type a new password. This is the same as many other systems you've probably used.
If you'd like to change your password on your own, you must do the following:
- You can get there directly at this Change Your Password link.
- OR do the following
- Log in to office.com
- Click on your initials in the top right of the screen.
- Click on "My Account"
- Click on "Security & Privacy"
- Click on "Password: Change Your Password." This will open a new tab or window. You then put in your old password and select a new password.
If you need to use "Forgot My Password", go to office.com and put in your username (with @wilson.edu) into the sign-in screen. Then click on Forgot My Password
- It will ask for your username again and have you complete a captcha where you type the letters you see in the box.
- It will then bring you to a screen where you select which method you'd like to use to verify your identity. These are the methods you set up in Step 3 above.
- Simply follow the prompts once you select your method of verification.
